Position Overview:
Reporting to the Manager of Recreation, this position provides administrative support to the Recreation Department. The Recreation Administrative Assistant performs clerical duties and assists with special projects for Recreation business units including Aquatics, Climbing, Facility Bookings, Customer Experience, Fitness and Child & Youth. This position will support a variety of critical administrative processes and liaise with a wide variety of internal and external interest holders.

Your core duties will involve learning a diversity of new skills as you manage the daily administrative operations of the Recreation team, including but limited to; department communications, database entry and reporting, research, file management, meeting organization, website maintenance and developing promotional materials. Job Requirements

Core Accountabilities:
Administrative Support to the Manager of Recreation
• Schedules meetings, prepares agendas, and records meeting minutes
• Produces, edits, and distributes various reports, forms, and other records
• Extracts and summarizes data for ongoing reporting from various software systems
• Develops and manages service area documents, files, records, and schedules
• Stays current with departmental issues, project statuses, staff programs, and schedules
• Performs research that supports service area programs and initiatives
• Maintains and updates Town website content for Recreation Services
• Collaborates effectively to execute marketing campaigns and initiatives
• Establishes schedules for internal employee programs and manager on duty shifts
Administrative support to the Recreation Supervisors
• Accurately and reliably inputs data
• Manages and tracks business unit purchasing and processes invoices/payments
• Organizes and coordinates the logistical aspects of staff functions, including Recreation’s staff meetings and events
• Understands and supports various Human Resources processes (e.g., recruiting, health and safety, and learning administration)
• Supports various operational projects, including but not limited to software implementations/upgrades and process improvements
General Administrative Duties
• Maintains all files and electronic file databases
• Manages inventories of various supplies
• Supports revisions to and development of policies and procedures
• Coordinates booking facilities and spaces as need
• Power User: Town Square and other platforms as assigned

Education & Qualifications:
• Secondary school diploma or equivalent – required
• Post-secondary education or training in office administration, business, or other related courses – asset
• Intermediate First Aid/CPR – asset

Experience:
• 2+ years related experience in an office administration type of environment – required
• Intermediate to advanced computer skills and specifically proficient with Microsoft 365 – required
• Strong organization skills with demonstrated attention to detail – required
• Strong oral and written communication – required
• Experience with database systems including data entry, extraction, and reporting- required
• Experience with digital records management software and budgeting software – asset
• Experience reviewing and editing documents and correspondence – asset
• Previous experience in recreation and sports administration – asset

Salary & Benefits:
• Pay Range- $30.61 to $34.21 per hour. Compensation will be calculated based on the successful candidate’s related work experience and education
