Job Description
Mountain Maternity & Family Medicine Clinic is looking for a standout Medical Office Assistant (MOA) to join our team. As one of our welcoming faces for our patients, you will need to consistently provide an exceptional level of service. Duties are shared across a team environment. Role will be approximately 20-30hours per week, flexibility on days (M-F).
Duties Include:
-Provide a warm, welcoming and professional atmosphere for patients
-Coordinates patient care through the clinic: checking in, prepping, escorting to exam rooms, preparing exam or treatment rooms, answering questions, providing post-appointment service, monitoring the waiting room.
-Answers inquiries by phone and in person in a helpful, respectful and efficient manner
-Book new appointments and follow-up appointments appropriately. Learn the many intricacies of our medical appointments.
-Handles and scans confidential information
-Maintains appointment schedule and assists with patient recalls
-Maintains electronic medical record (EMR), including the patient chart. Performs tasks in personal and shared task folders in support of patient care.
-Ensures exam rooms are stocked appropriately and are ready for the next patient.
-Helps set up the procedure room when required.
-Ensures patient confidentiality
-Assists physicians and nurses when requested; questions, printing labels, faxing, printing, occasional chaperone duties
-Processes payments for uninsured services
-Brings lab bucket to hospital lab, checks mailbox and sorts mail
-Pomelo Health (patient portal):
-approving/declining appointments,
-responding to messages,
-uploading docs to chart,
-guiding patients through registering, linking family members
-Cleans used equipment
-Outlook email – occasionally
-Opening / closing clinic
-Prep for next day’s appointments
-Performs all other related clinical, administrative tasks or special tasks as required

Job Requirements
-Previous reception/administrative experience required.
-Completion of post-secondary school is a benefit
-Maintains patient confidentiality at all times
-Works well both autonomously and in a team environment
-Provides patient care with a customer service lens and patient heart
-Ability to work in a fast-paced environment - we are always busy! Perform tasks quickly and accurately.
-Strong communication skills, written and oral
-Superior comprehension of the English language
-Computer literacy is essential - we work on computers all day. Telus EMR skills are an asset.
-Ability to multitask, be detail-oriented and able to problem solve
