Job Description
Join the Floss Team as a Dental Receptionist/Office Manager in Beautiful Banff!
We’re looking for a chill, reliable, and proactive person to manage our front-end operations and keep things running smoothly.
At Floss, we believe that when you treat people well and deliver excellent work, everything else falls into place. Our clinic is growing, and we’re looking for a Dental Receptionist/Office Manager who can handle both the busy, day-to-day tasks and the bigger-picture responsibilities that keep the clinic organized. This is a long-term position for someone who’s ready to step up, learn the ropes, and be a key part of our team.
If you’re organized, thrive under pressure, and enjoy a role that combines customer service with project management, we want to meet you!
The Role:
You’ll be the first point of contact for our patients, handling everything from check-ins to managing accounts. But this role is more than just reception—you’ll be helping to manage the clinic’s day-to-day operations, ordering supplies, assisting with special projects, and making sure everything runs smoothly behind the scenes. You’ll be juggling multiple responsibilities, but it’s all in a busy-but-manageable environment with a team that’s there to support you.
Key Responsibilities:
Greeting and checking in patients with a warm and welcoming attitude.
Booking and managing appointments for new and existing patients.
Handling accounts receivable and assisting with patient billing and insurance questions.
Managing office supplies, placing orders, and ensuring inventory is stocked.
Supporting the team with special projects and ensuring smooth day-to-day operations.
Collaborating with the dental team to ensure patient needs are met and schedules are optimized.
Overseeing office organization and efficiency—you’ll help keep everything running like clockwork.
Potential opportunity to assist with social media management—if you’re passionate about connecting with the community, we’d love to have your help in growing our online presence.
What We’re Looking For:
A chill, reliable person who thrives in a busy environment and can handle a variety of tasks with ease.
Strong customer service experience—you’re someone who loves interacting with people and making them feel comfortable and cared for.
A self-starter with a strong attention to detail—this role requires someone who can take initiative and stay organized.
Ability to juggle multiple tasks—you’ll be managing front-end tasks, project work, and administrative duties, so strong time management skills are a must.
Willingness to learn the dental industry—this role will take time to master, and we’re looking for someone who’s excited to grow and take on new challenges.
Adaptable, with a problem-solving mindset—you’re able to roll with changes and keep things running smoothly.
Team player—this role involves working closely with our staff to keep things running smoothly and efficiently.
Interest in social media (a plus!)—if you’re into social media and connecting with a community online, this could be a great opportunity to get involved.
Why Floss?
Great team culture—we value respect, collaboration, and a positive attitude.
Located in Banff, with amazing access to outdoor adventures and a great work-life balance.
Opportunities for growth—this role can evolve as the clinic continues to grow, with potential to take on more responsibilities.
Hours— 3 – 4 days a week – Clinic hours – Monday, Tuesday, (approx. 9:45am – 6:45pm), Wednesday – Saturday (6:45am – 3:45pm). Flexibility to cover additional shifts as needed, with the potential for hours to change.
A busy but manageable role—you’ll be busy, but with a supportive team and an environment that allows you to handle it all without feeling overwhelmed.

Job Requirements
Proven experience in office management or leadership roles—prior experience in a dental office or a similar environment is a plus, but we’re also open to candidates with strong managerial skills in other customer service settings.
A proactive, self-starter mentality—someone who can take charge and make decisions independently while still being a collaborative member of the team.
Exceptional organizational skills—you’ll be managing multiple tasks, so the ability to prioritize, delegate, and stay on top of everything is key.
Problem-solving abilities—this is a hands-on role where you’ll need to address issues as they arise and think critically to find solutions.
Excellent communication skills—both with patients and your team. You’ll be the main point of contact for many tasks, and clear, professional communication is crucial.
Customer service excellence—you’ll set the tone for the patient experience, so a calm, approachable demeanor is a must.
Willingness to learn and grow in a managerial capacity—this role is about more than just doing the work; you’ll be a key player in managing the clinic’s success and growth.
Criminal Record and Vulnerable Sector Check—As we work with long-term care facilities such as St. Martha’s, Golden Eagle View, and Origin, a criminal record and vulnerable sector check will be required for all candidates prior to employment.
