The Opportunity

The Banff Centre Mountain Film and Book Festival is one of the flagship programs of Banff Centre. As one of the world’s pre-eminent mountain festivals – and a co-founder of the International Alliance for Mountain Film — the Festival began almost 50 years ago in the small Rocky Mountain town of Banff, Alberta. What began as a one-day festival of climbing films has now blossomed into a nine-day event in Banff that explores and celebrates what Mountain Culture means to people around the world. Events include film screenings; film, book, and photography competitions; a filmmaking workshop and mountain marketplace.

The Mountain Culture department at Banff Centre is looking for a Special Projects Lead to assist in preparation for the 50th anniversary of the Banff Centre Mountain Film and Book Festival. Reliable, self-motivated, and highly organized while remaining flexible to changing priorities, the Special Projects Lead – 50th Anniversary, demonstrates strong written and oral communication abilities and excellent interpersonal skills when dealing with all stakeholders, partners, and guests.

Roles and Responsibilities

Reporting to the Festival Manager, below are some key accountabilities:

Event Logistics

– Coordinates and arranges details of program and festival registration for 50th anniversary special events, travel, on-site accommodation, and special requirements for participants and guests.
– Creates and processes all contracts for 50th anniversary special events in support of the Festival Manager.
– Communicates and maintains program schedule for 50th anniversary special events, created by Director, Festival & World Tour and Festival Manager.
– Communicates and coordinates with Banff Centre departments for the set-up and ongoing logistical requirements of 50th anniversary special projects, and practices effective problem-solving methods to resolve issues and concerns.
– Acts as a liaison between guest speakers, participants, volunteers, and other Festival team members.
– Key point of contact with 50th anniversary special event guests (including but not limited to filmmakers, authors, guest speakers, publishers, exhibitors, advertisers, sponsors, technicians, media, etc.).
– Contributes to the planning, scheduling, and coordination of 50th anniversary special events, including but not limited to pre-arrival packages, coordination with production for technical requirements, volunteer orientation sessions, and ensuring completion of the end of event evaluation.
– In consultation with the Director, Festival & World Tour and Festival Manager, establishes and plans project management frameworks to manage the workflow to ensure effective program delivery.
– Participates in and organizes planning meetings, as required.
– Ensures 50th anniversary special events operate within Banff Centre policies, procedures, and guidelines.
– Builds web schedule and registration pages for 50th anniversary special events on Banff Centre website and associated external platforms as required and in accordance with established practices.

Marketing/Editorial

– Acts as administrative lead for 50th anniversary commemorative print program in consultation with the Director, Festival and World Tour.
– Coordinates editorial content, including involvement in planning meetings and assignment of writers.
– Prepares contracts and payments for print program contributors.
– Liaises with Marketing and Communication for print program content deliverables.
– Liaises with Marketing and Communications for 50th anniversary special event marketing materials.

Financial

– Submits invoices for payments; submits purchase and payment requests, expense claims, and petty cash vouchers in accordance with established practices. Monitors requests and claims to ensure that budgets are not exceeded.
– Researches and develops the required information for the 50th anniversary special events budgets and project information. Monitors budgets and expenditures through approved tracking systems.
– Tracks deadlines and ensures that all reports are prepared in compliance with the terms and conditions of the agreements within the designated timelines.

General Administrative Duties

– Creates, distributes, and gathers evaluation and feedback information from internal and external partners. Addresses and distributes information as needed, and compiles information into report form.
– Maintains accurate records management systems in alignment with the standards and procedures required by Mountain Culture and Banff Centre.

Job Requirements

Qualifications and Educational Requirements

- Completion of a college or university degree in related field or equivalent in experience
- 5 years’ experience working in an administrative capacity, preferably with hands on project management or festival/event planning
- Film festival or special events experience is an asset
- Proficient with Microsoft Office programs, and competent working with custom software programs and using internet and web-based communication methods, adept at new technologies, software applications, and digital platforms
- Proven organizational expertise and the ability to manage multiple projects and large volumes of information at once with high level of attention to detail
- Ability to work independently, to lead by example, and to problem-solve creatively
- Comfortable working in a fast-paced environment, with the ability to think and act quickly
- Demonstrated experience working with a broad range of internal and external stakeholders is essential
- Strong analytical, writing, and interpersonal skills are required

Special Requirements

- Due to the nature of the Festival programming, this position requires the candidate to be available to work a flexible, irregular schedule including evenings, holidays, and weekends.

- In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
- This position pays between $28.29 and $29.70 per hour working up to 40 hours per week on a rotating schedule.
