Job Description

The Opportunity

The Program Services Supervisor assists the Program Services Manager in ensuring the smooth and efficient operation of all Program Services within Banff Centre. The Supervisor is responsible for coordinating and supervising the daily work of one or more teams consisting of a Program Services Team Leader and Program Services Workers. Included in these responsibilities is ensuring all program set-ups, deliveries, coffee/snack services, moves and strikes are completed in a timely and efficient manner, according to the standards set by the Hospitality Management. The Supervisor actively participates in hiring, training, engaging and training/developing all Program Services team members.

Roles and Responsibilities
Reporting to the Program Services Manager, below are some key accountabilities:

– Provide direct supervision to all Program Service team members.
– Review and supervise each shifts work requirements, including; assessing any new additions or changes and ensuring that all program services are completed in a timely and efficient manner
– Assist Program Services Team Leaders in organizing and coordinating the daily work of the Program Services team members and provide hands-on support as required.
– Problem solve any matters relating to the daily work plan that require attention and assist the Manager with planning weekly requirements.
– Act as point of contact with internal/external organizers of functions to ensure that service is provided according to expectations outlined in the GRF’s.
– Serve as the link for communication to the Team Leaders and Program Service team members of any last-minute changes. Keep the Manager and/or Conference/Program Office informed of changes requested or concerns communicated directly from the internal/external on-site clients.
– Assist departments of Banff Centre in activities such as office moves, box moves, and equipment moves, including pianos and other musical instruments in a friendly and efficient manner and with a strong emphasis on equipment care, safety, and breakage avoidance.
– The Supervisor will be required to handle special requests or concerns from internal and external clients in a friendly, efficient, and courteous manner, referring these requests or concerns immediately to the Manager if unsure or unable to offer assistance.
– Maintain the cleanliness and upkeep of all Program Services areas and equipment at all times. Communicate any general maintenance, repairs and cleaning requirements to the appropriate department and follow up all requests to ensure completion. This includes the cleaning and maintenance of all service vehicles in use by the Program Services Department personnel.
– Maintain the inventory of all storage areas for Program Services.
– Assist the Manager in the preparation of annual operating and capital budgets.
– Ensure compliance with all safety related policies and practices. Act as the liaison between the Safety Committee and all Program Services employees.
– Promote and maintain a high level of employee relations at all times in conjunction with Banff Centre Policy. The incumbent will know and understand the collective bargaining agreement as it relates to employee issues and will ensure compliance with the regulations within at all times.
– The incumbent will be required to drive a service vehicle and must do so in accordance with the Banff Centre Driving Policy at all times.

Job Requirements

Qualifications and Educational Requirements

- The ability to lift 80 pounds.
- Must be over the age of 18 as they will be responsible for handling liquor.
- Possess a valid class 5 Alberta or equivalent driver’s license.
- Minimum 2 years' experience in the Conference/Hospitality industry, performing related work at a supervisor level.
- Demonstrated track record organizing multiple projects at one time with the occurrence of changing schedules.
- Sound knowledge of banquet/meeting set-ups, proper food handling practices, service etiquette and excellent customer service.
- Proficient use of PC based programs and good knowledge of Word, Excel and Property Management System program applications.
- Knowledge of Time and Attendance and Basic First Aid/CPR.

Special Requirements
- Due to the nature of the job, this position requires the candidate to be available to work a flexible, irregular schedule and weekends.

- In accordance with the terms of employment governing Management/PSP employees, this is a salaried, full time position, subject to a 6-month probationary period.
- The salary range for this position is $51,731 to $73,983 based on experience.
