Position Details:

– Start Date: May 25, 2026
– End Date: August 31, 2026
– Timescale: 35 hours / 5 days per week (maximum 40 hours per week)
– Location: RMA Office in Canmore, other locations in the Bow Valley and Kananaskis. Hybrid work-from-home available.
– Working Conditions: Shared office environment, potentially required to work in an active outdoor environment
– Report To: Operations Manager

Position Overview:

The Program Administrator will support the Program team to ensure the smooth operation of RMA’s summer programming. They will support the Operations Manager, Program Coordinator, Bookings Coordinator, and Volunteer Coordinator with staff scheduling, general inquiries, and coverage of administrative duties on weekends, among other tasks. The ideal candidate will be highly organized and detail-oriented, able to multitask, reprioritize tasks on short notice, communicate effectively, and be passionate about our mission to empower individuals through sports and recreation.

Roles and Responsibilities:

Assist in entering staff schedules and shift notes:
– Enter new shifts for lessons and regular programs
– Update current shift notes with participant and volunteer information
Assist with administrative tasks:
– (schedule dependent) Check relevant programming email addresses on staff weekends
– Monitor RMA’s general information email (info@rockymountainadaptive.com); reply as able, and forward other inquiries to the relevant staff members
– Assist in monitoring RMA’s general information phone line, alongside the Bookings Coordinator
Review lesson report forms and feedback surveys, and forward relevant information to members of the programming team
Help with RMA’s marketing and outreach efforts:
– Gather photo and video content from participants to help them tell their ‘RMA experience stories’, and from behind the scenes to help showcase all areas of RMA operations
– Assist with various fundraisers and/or outreach events
Assist with other data entry or system upgrade projects, as needed

Job Requirements

Eligibility Criteria:

This position is funded through the Canadian Government Summer Jobs Grant Program. Eligible applicants must be 15 to 30 years of age, and a Canadian citizen or a permanent resident in order to apply.

Qualifications:

- Clear Vulnerable Sector Check
- Standard First Aid (AED/CPR C)
- Related post-secondary education (Business Administration or related field) and asset

Skills and Experience:

- Previous experience in an administrative role
- Excellent written and verbal communication skills
- Meticulous attention to detail
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Ability to work effectively both independently and as part of a team
- Proficiency in computer applications such as Google Suite (Docs, Sheets, Mail) and booking software/systems (Better Impact, Homebase, Checkfront) an asset
- Experience working with people with physical, sensory, and/or neurodivergent challenges an asset
