Job Description

We’re looking for an Executive Assistant who brings initiative, professionalism, and heart. Someone who thrives in a people-centered organization. Someone who can manage details, juggle priorities, and build strong relationships with ease.
You’ll support the CEO, the Board of Directors, and HR administration—all while contributing to a compassionate, values-driven team that serves the Bow Valley community.
Day to day responsibilities include:
Support the CEO
• Manage calendars, meetings, travel, and logistics
• Prepare correspondence, presentations, and briefing materials
• Track priorities and ensure follow up happens
• Coordinate donor stewardship and maintain accurate records
• Support expense submissions and documentation
• Act as a professional, welcoming first point of contact for staff, partners, donors, and community members
Support the Board of Directors
• Coordinate Board and Committee meetings, including agendas, minutes, scheduling, and logistics
• Prepare and distribute governance materials on time
• Manage Board onboarding and offboarding
• Support the Board Chair with scheduling and background information
• Maintain accurate governance documentation and archives
HR Administration
• Coordinate recruitment activities and new hire onboarding
• Maintain employee files and complete quarterly BambooHR audits
• Support payroll coordination and time approvals
• Liaise with contracted HR services

What We Want to See on Your Resume:
• Experience supporting senior leaders or executives
• Strong written and verbal communication skills
• Proven ability to manage calendars, scheduling, and competing priorities
• Comfort working with technology, documentation, and administrative systems
• Experience in HR administration or office coordination (asset, not required)
• High level of discretion and confidentiality
